Here is the chance to engage in a bit of role play. Below is a description of a pretty stressful
day. Imagine that you experience a day like this.
7:30am. The day starts badly. You forgot to set the alarm and you’re running late. You have
an important client meeting at 9:30 a.m. and you intended to get into the office early to reread
the papers in preparation for the meeting. You have to stop for fuel on the way, in which further
delays you. Traffic is heavy and there are roadworks on the motorway. You find yourself in a
tailback of slow-moving traffic and it’s at least seven kilometres until the next exit. As you’re
crawling along, you suddenly become aware that you have developed a flat tyre. You limp onto the hard shoulder and look at your watch. It’s 8:50 a.m. and you’re still some 15 kilometres
from your office. You are not going to make that meeting!
Assuming a typical response to previous scenario, the day might continue as follows:
9:45am. You eventually arrive at your office. You go to collect the file for the client meeting
and the phone rings. A subordinate is having some problems accessing information on the
computer; brusquely, you give hasty instructions. You then spend a further 10 minutes wading
through the huge piles of paper stacked on your desk, searching for the right file. You notice a
new pile of correspondence and phone messages on the desk, some marked ‘urgent’. You
contemplate dealing with these but you’re now already 30 minutes late for this meeting.
Suddenly, you realise that before you left last night your boss popped in and suggested a
meeting at 10:30am. You’re going to be late for that one too.
Question:
What is the most effective way of handling the various problems in the above scenario? Discuss
how you would have coped with each of the problems as they occurred. Try to identify a
primary, secondary and tertiary intervention that could be used to improve your day, and
perhaps help prevent you from having too many more days like this in the future.

In the given scenario, experiencing a series of stressful events throughout the day can be overwhelming. To effectively handle the various problems, it is important to employ strategies for stress management and problem-solving. Here’s how I would cope with each problem as it occurs:

  1. Running Late and Missing the Client Meeting: Primary Intervention: Take a deep breath and remind myself to stay calm. Contact the client immediately to inform them of the situation and apologize for the delay. Try to reschedule the meeting as soon as possible. Secondary Intervention: Evaluate alternative options, such as conducting the meeting via video conference or arranging a phone call to address the client’s immediate concerns. Communicate and coordinate with the team to ensure the client’s needs are met promptly. Tertiary Intervention: Reflect on the incident and identify areas for improvement. Set up systems to avoid similar situations in the future, such as setting multiple alarms, leaving earlier for important meetings, or using calendar reminders.
  2. Dealing with Technical Issues and Office Delays: Primary Intervention: Provide clear instructions to the subordinate experiencing technical difficulties, ensuring they have the necessary support to resolve the issue independently. Prioritize and delegate urgent tasks to other team members to manage the workload effectively. Secondary Intervention: Allocate dedicated time to organize the desk and prioritize the most urgent tasks. Handle urgent phone messages and correspondence promptly while keeping a record of those requiring further attention. Tertiary Intervention: Explore ways to improve workflow and organization, such as implementing digital filing systems, automating certain processes, or enhancing communication channels to minimize disruptions caused by administrative tasks.
  3. Realizing a Clash with a Meeting Scheduled by the Boss: Primary Intervention: Apologize to the boss for the delay and propose a rescheduled meeting time that accommodates both parties. Communicate the situation honestly, expressing commitment to fulfilling responsibilities promptly. Secondary Intervention: Make necessary adjustments to the schedule to ensure attendance at the rescheduled meeting. Prioritize tasks to maintain productivity while fulfilling commitments. Tertiary Intervention: Enhance communication with superiors to better align schedules and prevent conflicts. Consider implementing time management techniques, such as prioritization and effective scheduling, to minimize conflicts and improve overall efficiency.

To prevent similar days in the future, it is important to implement the following interventions:

Primary Prevention: Establish effective time management strategies, including setting realistic deadlines, creating daily schedules, and utilizing tools like reminders or productivity apps. Maintain open communication channels with clients, colleagues, and subordinates to address potential issues proactively.

Secondary Prevention: Implement stress management techniques, such as regular exercise, mindfulness practices, and breaks throughout the day. Build a support network within the organization to share responsibilities and collaborate effectively.

Tertiary Prevention: Conduct regular self-reflection and evaluation of workflows and processes. Identify areas for improvement and implement changes, such as streamlining procedures, implementing technology solutions, and fostering a supportive work culture that promotes work-life balance.

By implementing these primary, secondary, and tertiary interventions, it is possible to effectively handle immediate challenges, prevent future stressors, and enhance overall productivity and well-being in the workplace.
